Call to use Outlook calendar at FASoS

In the context of reducing workload the faculty board proposes that we should all use the electronic calendar as from today onwards, because not all staff members make use of it.

From June 2017 the faculty board expects all colleagues to use the Outlook electronic calendar and adhere to the corresponding etiquette.

What does this mean for you?

Although most colleagues have already made the transition, and to their full satisfaction, secretaries and the HR department still spend disproportionate amounts of time in arranging meetings with and/or between colleagues who do not yet use the electronic calendar, properly or at all.

Using the electronic calendar means:

1)    Scheduling all your meetings in your Outlook electronic calendar using your Maastricht University email address;

2)    Giving the secretary or secretaries access to your calendar so they can arrange meetings in your calendar in available time slots;

3)    Uploading your outline schedule (raamrooster) to your calendar;

4)    Adhering to electronic calendar etiquette, which means:

a.    frequently checking your calendar for invitation requests and either accept or decline the appointment;

b.    scheduling your conference meetings and holidays in your electronic calendar as early as possible.

A brief manual is attached to support you in using the electronic calendar. It explains it’s most important features and includes links to the relevant webpages for more detailed explanations. Remember, you can always knock on your secretary’s door for help.
