FASoS is no longer allowed to return written work to students

In the past years FASoS’s Exam Administration, after having processed the results, always returned all corrected exams and papers, including comments/evaluation of these exams to the students via their pigeon holes. Dutch Law, however, obliges universities to archive all exams as well as the comments/evaluation leading to the given final exam result (thus the module’s final result). Due to this FASoS’s policy as regards returning all written work of students via their pigeon holes is changing.

For the exams of period 1 of this academic year we organised special hours during which all students could come to collect a copy of their marked exams. This procedure was very stressful for both students and staff. At the time we asked students and staff to share concerns, ideas or suggestions for alternative procedures.

 

The Faculty Board now agreed on the following temporary procedure which guarantees that we have an archive in accordance to Dutch Law requirements, and which guarantees that students get their work with comments back. This procedure will be applied in the remaining periods 2-5 of this academic year. For next academic year (2013-2014) a new procedure will be developed. Should you have ideas or suggestions for alternative procedures, please inform your student representatives! We really appreciate your input!

 

Regarding this new procedure we distinguish four different types of exams:

  1. Collective exams organised by the exam coordinator (e.g. all exams which are taken in the MECC) – answer sheets with barcode.In these exams pre-printed answer sheets with barcode are used. These exams are scanned (before and) after the marking. The scans of the corrected answer sheets will be filed in an individual folder by the Exam Administration, accessible for the student via a separate website account: http://um-webdotnet40.unimaas.nl/fileobserver/ As of Thursday 31 January students can log on to this website (the same as the log on to email and MyUM) where they will find the scans of the answer sheets of these corrected exams. We don’t know the exact time the website will be accessible, but it should be as of noon.
  2. Collective exams which are organised by course coordinators – answer sheet without barcode. The answer sheets of these exams do not have a special barcode and are therefore not scanned.
    The marked exams will be copied by an invigilator and returned to the pigeon holes of the student.
  3. Papers, take-home exams and other written assignments that influence the final grade – uploaded via Safe Assign. We see that there are two different ways of grading these exams:
  4. In case the examiners write their comments/evaluation on these exams on printed versions, without the use of assessment forms, the commented and marked exams will be copied by an invigilator and returned to the pigeon holes of the students.
  5. In case the examiners make use of an assessment form or write their comments/evaluation of the student’s work on a separate form, they will return these forms to the students.
  6. Oral exams (including presentations). The examiners will fill out assessment forms and return these forms to the students.
