Personal document storage limited to 10 GB

As of Monday 12 January 2015 the storage of documents in backed-up Windows folders will be limited to 10 GB. This is necessary to ensure a stable and sustainable document storage for all FASoS staff. Staff members who need to store more data, can do so on the J-drive and L-drive. External hard drives, iMacs, Macbooks, the D-drive in your pc and other not backed-up places are not safe to store files.

Colleagues who at this moment have stored more than 10GB of data in their Windows Desktop, Documents, Music, Pictures and Video folders have already been notified.

Too big a risk

At the moment Windows backed-up document storage (also known as the I-drive) is limited for FASoS staff members as a group. If one staff member places large amounts of data in her personal folder, the group limit could be reached and nobody can place documents in their personal folders anymore.

Several times in the past we almost reached the limit. Because our user representative dealt with it quickly, it went unnoticed. We might not be so lucky in the future, however. It is too risky to let this situation continue. The only robust solution is setting a limit for each staff member.

More storage space

If you need more storage space, you can request a folder on the J-drive or L-drive per research project or educational unit (course/program). Please contact the ICTS Servicedesk. For your convenience, you can create links in your documents folder to these project folders. Added benefit of this storage is that you can give other staff members (temporary) read or read&write permissions to one or more of the folders. This is great way of sharing documents within a project without using email.

Do not store files on an internal or external hard drive. It is not safe. Files on the I-drive, J-drive and L-drive are constantly backed-up for you. It is not necessarily to store them somewhere else. The drives can be reached from your home computer, tablet and smartphone through VPN. How to find out how much storage you are using.

You can find out how much storage you are using by going to ‘HOMEDRIVE (I:)’ in the file browser on your pc, selecting all folders, right clicking and choosing ‘Properties’ from the menu. If you use more than 10 GB, you should have been contacted about it through mail before.
